What is Notion?

Notion is a comprehensive digital workspace that allows users to arrange various types of content and work together with their team. This place allows you to consolidate notes, papers, tasks, and modify it to suit your requirements.

It is useful when collaborating with teams that are not physically present.

How we use it

Prior to my employment here, I mostly utilized it for task management and content scheduling. Aside from that, whenever I needed to make a document, I would utilize Google Docs or Office 365. Occasionally, Airtable!

However, this had drawbacks as I was utilizing various instruments for the identical aim. Locating papers can be challenging when they are spread across multiple tools.

Having well-defined processes is important

At Coletiv, we prioritize maintaining a transparent and collaborative culture, emphasizing the significance of effective communication. Particularly due to our personnel operating in a remote capacity.

To ensure everyone is in agreement, each task must have its own specific procedure. Additionally, each member must have the ability to join and offer comments for the purpose of enhancing our performance.

Notion plays a crucial role in this context.

Within our work environments

We are now subscribed to the Team Plan under the account name Coletiv. We have several workspaces available for our staff to access and work on.

The workspaces are categorized by distinct regions.

Each workspace contains information relevant to that region and connections to other related Notion pages.

Personnel Management

Within the HR department, there is a compilation of significant pages such as job listings, employee referrals, and the interview procedures.

We compile information regarding the present team, such as the onboarding process and a useful template for 1-2-1 meetings.

It appears as such at the moment.

Creation and Layout

We, as a digital product firm, engage in various projects and offer diverse services. Our staff aims to consistently provide high-quality work, especially under time constraints.

All team members participate in defining the ideal procedure for either software development or product design.

These workspaces are structured in a unique manner. Each one includes a table of contents and an in-depth overview of the entire process. It also contains pertinent links for our team to peruse.

Advertising

The marketing workplace was subpar compared to the others. That is the reason for my presence.

Just like in HR, the Marketing workspace contains a categorized collection of information that directs to certain Notion pages.

We consolidate materials like the Content Calendar, Website Copy, Task Plan, SEO standards, and more in this workspace.

Every workplace adheres to a consistent framework, however variations in appearance may occur.
The Projects workspace features a gallery view of all the projects we are currently working on. The Office workspace stores links to our hardware inventory, purchase lists, and software accounts. We value diversity but prioritize accessibility to necessary knowledge.

We currently utilize Notion for several purposes, including functioning as a Content Management System for creating and organizing our blog content. Additionally, we are utilizing it as a CRM to manage our sales pipeline and track each incoming prospect.

Some may consider us eccentric, but our methods have proved effective. Currently, we are accustomed to having all our information stored in Notion, although we may consider switching to different technologies in the future.

In conclusion

We appreciate the flexibility provided by Notion to personalize every workstation and page. The interconnected nature of everything enables any team member to promptly get the necessary information. Without the need to alternate between applications.

Notion enhances productivity and organization. Despite working remotely, we can collaborate seamlessly as if we were in a shared physical space.
